Job Summary

The Administrative Assistant 2 provides administrative and clerical support to manufacturing leadership and plant personnel. This position coordinates office activities, maintains production records, assists with reporting and scheduling, supports employee communications, and helps ensure efficient day-to-day operation of the manufacturing facility.

Essential Duties and Responsibilities Administrative Support
  • Provide administrative assistance to manufacturing management and department supervisors.
  • Prepare, edit, and distribute correspondence, reports, presentations, and meeting materials.
  • Maintain department files, records, and documentation in accordance with company policies.
  • Schedule meetings, training sessions, and plant events.
  • Manage incoming calls, emails, and visitor inquiries.
Manufacturing & Production Support
  • Enter, verify, and maintain production data and operational records.
  • Assist with preparation of daily, weekly, and monthly production reports.
  • Track and update key performance indicators (KPIs), attendance records, and labor reporting.
  • Support inventory transactions, purchase requisitions, and material documentation.
  • Coordinate distribution of production schedules and work instructions.
General Office Support
  • Order and maintain office supplies and department materials.
  • Process invoices and vendor documentation.
  • Perform other administrative duties as assigned.
Qualifications Education
  • High School Diploma or GED required.
  • Associate degree in Business Administration or related field preferred.
Experience
  • Minimum 3 years of administrative experience required.
  • Manufacturing or industrial environment experience preferred.
  • Experience supporting multiple managers and departments is preferred.
Knowledge, Skills, and Abilities
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to manage confidential information with professionalism and discretion.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple tasks in a fast-paced manufacturing environment.
  • Working knowledge of ERP, MRP, or manufacturing systems preferred.
  • Basic understanding of manufacturing processes, safety procedures, and quality systems.
Physical Requirements
  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift up to 35 pounds.
  • Ability to work in both office and manufacturing plant environments.
Working Conditions
  • Manufacturing facility with exposure to noise, machinery, and varying temperatures.
  • Office-based work utilizing computers and standard office equipment.
  • May require occasional overtime to support business needs.

This position supports the overall efficiency and effectiveness of manufacturing operations through strong administrative coordination, recordkeeping, communication, and organizational support.

For informational purposes only, the range of pay for this role is $20 to $26 US Dollar (USD) Hourly based on a variety of factors. For informational purposes only, this role is eligible to participate in the Company's Quarterly Cash Bonus Plan, paid out at the quarterly bonus factor of 1X the Company's bonus multiple, based on the Company's performance in the applicable quarter . Employees will receive 120 hours paid time off every year. Employees will also receive 10 paid holidays. Employees (and their families) are eligible to participate in the company's medical, dental, vision, and basic life insurance. Employees are eligible to enroll in the Company's 401(k) plan.

This position requires use of information or access to production processes subject to national security controls under U.S. export control laws and regulations (including, but not limited to the International Traffic in Arms Regulations (ITAR) and the Export Administration Regulations (EAR)).
