SUMMARY

At the direction of senior department leadership, this position provides administrative support to the department and the constituent entities thereof (MontcoWorks, IDA, RDA and HEHA). The position also provides support to the department's fiscal management and operational activities


ESSENTIAL DUTIES AND RESPONSIBILITIES

* Assists in the administrative activities of the department and the department's administrative entities; this includes scheduling, keeping meeting minutes, arranging meeting times, collecting and disbursing documentation to individuals, and maintaining economic Board and loan files.
* Collect data, stories and outcomes and draft the Commerce Monthly Activity Report and to provide to other intracounty departments for their respective reports.
* Completes and submits PIDA and MontCo Forward loan program compliance and PIDA quarterly delinquency reports.
* Prepares and emails inquiry alerts received through MC SiteSelect.
* Schedules and prepare meetings, agendas and minutes for the IDA Board of Directors and Finance Committee meetings.
* Maintains documents and files for the IDA.
* Provides administrative support and reception backup.
* Monitor and maintain Director of Commerce emails.
* Prepare monthly Expense Report for Director of Commerce.
* Prepare conference registrations and hotel reservations for Commerce staff (including over-night request authorization forms).
* Maintain CRM database.
* Draft and disseminate Commerce announcements using CRM lists.
* Conduct and report on research for program development and reporting of outcome measure.
* Draft Requests for Proposals for procurement items.
* Draft memos for Director of Commerce and communications with Commissioners and Executive Staff.
* Other duties as required.


QUALIFICATION REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The ideal candidate is a recent college graduate or an early career professional. * Ideally 1-3 years working in economic and/or workforce development, commercial lending, finance, or a related field.

* Bachelor's Degree (Master's Degree preferred) in business administration, public administration, finance, communications, or a related field.

* Demonstrated aptitude to learn and/or an understanding of and experience with public sector economic and workforce development programs and practices.

* An understanding of public sector expectations for performance, professionalism, and practices.

* Capability to prepare and package grant and/or business finance applications, government reports, and/or publications & marketing materials.

* Proficient with Microsoft Office, customer relations management (CRM) or similar project management software/database systems.

* Willingness and ability to seek, build, and further develop partnerships across a wide spectrum of public, private, and/or non-profit entities.

*Project and team management skills along with an ability to effectively manage deadlines and coordinate work across multiple ad hoc and/or established groups, task force, committees, etc.

* Able to obtain and/or maintain a valid Driver's License.
