JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Harrisburg, a comprehensive College of The Pennsylvania State University, is excited to welcome applications for a part-time Administrative Support Assistant (ASA) opening at Counseling and Psychological Services (CAPS) and Student Disability Resources (SDR).

Job Duties

Reporting to the Assistant Director of Counseling and Psychological Services, the part-time ASA will help support both CAPS and SDR offices by providing comprehensive support to staff, students, and campus community in a professional and confidential manner.

  • Acting as primary point of contact for our office, this position will greet visitors and clients, manage a multi-line phone system, process, scan and copy documents, sort and distribute incoming/outgoing mail, schedule appointments and meetings, and meet deadlines for projects as assigned.
  • This opening will also at times engage in other office duties as assigned. Examples of this include: Assisting our testing center, which may include receiving and distributing quizzes or exams as directed by the test coordinator, answering student and faculty questions related to the testing center schedule and, proctoring quizzes or exams.
  • Periodically updating our center's promotional materials such as unit brochures, web content, as well as creating flyers, digital information, and event planning.
  • Intermittently create data reports in the center's electronic medical records (EMR) platform to monitor and compare student utilization, volume, appointment distribution, and demographic data.
Requirements and Qualifications
  • Commitment to working with and respecting diverse populations, and having a passion for helping others, is vital.
  • The successful candidate will have prior experience working with various computer systems and be proficient with Microsoft Office Suite.
  • Be capable of shifting duties or tasks quickly, at times with little notice, while maintaining composure and retaining sound judgment.
  • Remain comfortable and calm in serving students in distress.
  • The ability to work as a part of a team and in collaboration with others is essential.
  • This opening maintains compliance with HIPAA and FERPA regulations and requires completed training in accordance with related Penn State policies.
  • The work schedule for this part-time opening can vary based on demand and staffing circumstances. Worked hours will be between the hours of 8:00 a.m. and 5:00 p.m. Monday-Friday, primarily during the fall and spring semesters.
  • Workdays will be in-person and on campus at Penn State Harrisburg, for up to 16 hours per week.
  • Flexibility with scheduling availability is required and may vary.
Minimum Qualifications
  • This opening typically requires a High School diploma or higher, plus one year of related experience, or an equivalent combination of education and experience.
  • Ability to work independently in the United States is required for employment.
  • Employment with the University for this job will require successful completion of the Pennsylvania (PA) Publicly Available Clearances: PA Child Abuse History Clearance, PA State Police Criminal Record Check, and the FBI Criminal History Background Check.

Preferred Qualifications
  • Bilingual
  • 1+ years of administrative experience working within a healthcare or clinical setting.
  • Experience working independently with little supervision.
  • Sound professional judgment.
