Preferred Qualifications

  • Experience in marketing, web development, or communications within a large organization
  • Familiarity with the University of Georgia or UGA College of Agricultural and Environmental Sciences and its mission
  • Certification in project management (e.g., PMP, CAPM)
  • Experience as a technical communicator
  • Familiarity with or passion for the agricultural or environmental sciences industry

Position Summary
Reporting to the CAES Chief Communications Officer, the Project Coordinator will manage the coordination and deliverables organization of various marketing and information technology projects within the UGA College of Agricultural and Sciences ( CAES). While this role reports through the CAES Office of Marketing and Communications ( OMC), this role also supports project coordination needs for the CAES Office of Information Technology ( OIT).
This role will be the point of contact for new and ongoing OMC and OIT projects organized in management tools and must foster close collaboration with various OMC and OIT team members to ensure projects are organized and completed for CAES and UGA Extension internal and external clients. This position works with OMC and OIT team members to coordinate internal project workflow processes and develop project timelines to ensure the successful completion of multiple deliverables. This position is responsible for preparing and advancing production timelines and organizing the scope for new and recurring initiatives such as deliverables around CAES events, marketing campaigns and annual projects.
This role works closely with internal CAES units to develop project timelines and ensure clients, stakeholders, and project team members submit materials and relevant project information as well as perform tasks in accordance to any established timelines. This position partners with the OMC and OIT business manager as well as the OMC and OIT teams to create project budgets and coordinate project payments with third-party vendors.

Manage and Coordinate Projects and Timelines

  • Manage the coordination and deliverables organization of various marketing and information technology projects within CAES using team project management tools
  • Organize and lead project planning meetings between OMC or the OIT with various internal and external clients
  • Collaborate with team members including writers, designers, social media specialists, web content managers, video producers, web and application developers, and other communications and information technology professionals to ensure project scope is clear and project goals are met on schedule
  • Maintain project timelines, track progress, and ensure the timely completion of project deliverables
  • Create project plans that outline project budgets, timelines, schedules, and the team member roles and responsibilities
  • Manage project planning or project scope meetings including developing agendas, recording notes, and creating and monitoring action items from such meetings

Project Communication and Organization

  • Facilitate effective communication within the lead project team and with external stakeholders
  • Lead internal project planning meetings and organize any next steps using the team project management system
  • Act as a primary point of contact between OMC or OIT and the other departments on project inquiries or project requests
  • Connect with relevant project team members on status updates and monitor project statuses to best align with team members on the progress of deliverables

  • Prepare and present project updates and reports to senior management team members including the CAES Chief Communications Officer and the CAES Executive Director of Information Technology
  • Work closely with CAES Digital Marketing Strategists to track paid media and advertising buys
  • Work closely with internal OMC and OIT team members to build project budgets and ensure project budgets are on track and organized
  • Support the current CAES/OIT Business Manager with coordinating contracts or financial transactions between vendors and the OMC/OIT teams
  • Identify potential risks or setbacks around project deliverables or timelines with team members and senior leadership including the CAES Chief Communications Officer and the CAES Executive Director of Information Technology
